This notice explains what personal information Icaro Projects Limited collects through this website, why we collect it, how long we keep it and what rights you have over it.
Who we are
Icaro Projects Limited is the data controller for the information described in this notice. That means we decide why and how your information is used, and we are responsible for looking after it.

What we collect
Information you give us
When you complete the enquiry form on our contact page, we collect your name, your email address, your telephone number if you choose to provide one, the project type you select, and whatever you write in the message field. If you email or telephone us directly, we hold the contents of that correspondence.
Only your name, email address, project type and message are required. Everything else is optional.
Information collected automatically
Our hosting provider records standard technical information when a page is requested, including your IP address, the pages you viewed and the type of browser and device you used. This is used to keep the site running and secure. We do not use it to build a profile of you.
Cookies and tracking
This website sets no cookies of its own and uses no advertising or analytics tracking. Our typefaces are served by Google Fonts, which means Google receives your IP address when a page loads so it can deliver the fonts. Google's own privacy information explains what it does with that.
We do not collect special category data, such as information about health, ethnicity or beliefs, and we ask that you do not include it in your enquiry.
Why we use it, and our legal basis
UK data protection law requires us to have a lawful basis for using your information. Ours are as follows.
- Answering your enquiry and preparing a quotation. Where you are asking us to price or discuss work, we rely on taking steps at your request before entering into a contract.
- Responding to general enquiries and keeping a record of them. We rely on our legitimate interests in running the business, responding to people who contact us, and being able to show what was said and when.
- Delivering a project once you become a client. We rely on performance of our contract with you.
- Keeping accounting, health and safety and project records. We rely on our legal obligations as a company and as a contractor.
We do not send marketing emails or newsletters. Your details are used to deal with your enquiry and your project, and nothing else. We never sell your information.
Who else sees it
We share your information only where we need to, and only with organisations bound to protect it.
- Netlify, which hosts this website and receives enquiry form submissions on our behalf.
- Google, whose Google Workspace service hosts our email and through which we receive and reply to your enquiry.
- Subcontractors, suppliers and consultants, where your project requires it. For example, a site address and contact number passed to a joiner arranging a visit.
- Our accountant and professional advisers, and any regulator or authority where the law requires disclosure.
Some of these organisations process information outside the United Kingdom, including in the United States. Where that happens, the transfer is covered by UK-approved safeguards, such as the International Data Transfer Agreement or the UK addendum to the European Commission's standard contractual clauses.
How long we keep it
- Enquiries that do not become projects: 24 months from your last contact with us, then deleted.
- Client and project records: six years after the project completes, which reflects the period during which a claim could still be brought and the period HMRC requires for accounting records.
- Health and safety records: for the period required by the relevant regulations, which in some cases is longer than six years.
We review what we hold periodically and delete anything we no longer need.
How we protect it
Enquiries are sent over an encrypted connection. Access to enquiry and project records is limited to the people at Icaro who need it to do their job, and accounts are protected by strong passwords and two-factor authentication where the service supports it.
Your rights
Under UK data protection law you have the right to:
- ask for a copy of the personal information we hold about you;
- have inaccurate information corrected;
- ask us to delete information where we no longer have a good reason to keep it;
- ask us to restrict how we use your information while a query is resolved;
- object to us using your information where we rely on legitimate interests;
- receive information you gave us in a portable electronic format.
To exercise any of these rights, email rob@icaroprojects.com. We will respond within one month. There is no charge, and we may ask you to confirm your identity before we release information.
Complaints
If you are unhappy with how we have handled your information, please tell us first so we can put it right. You also have the right to complain to the Information Commissioner's Office, the UK regulator for data protection.

Changes to this notice
We update this notice when the way we handle information changes. The date at the top shows when it was last revised.
